PRIVACY POLICY

VERSION 1.1

This Privacy Policy was approved by
the Board of Directors of Alderpen Media, INC.

Effective Date:  April 17, 2025

1. Our Commitment to Privacy

At Alderpen Media, Inc., we are committed to protecting your privacy and ensuring that any information you choose to share with us is handled with care, clarity, and respect. As a mission-driven, for-profit ministry, we strive to operate with transparency, integrity, and intentionality in all aspects of data handling, whether through our websites, programs, applications, or communications.

By using our websites, submitting an application, joining our community, or participating in any of our offerings, you consent to the practices described in this Privacy Policy.

This Privacy Policy applies to all websites, forms, platforms, and digital properties operated by Alderpen Media, Inc., including (but not limited to) the domains listed in Section 5.

2. Information We Collect

We collect information in the following ways:

a. Information You Voluntarily Provide

You may choose to provide us with personal information through forms, applications, surveys, emails, or other direct interactions. This may include:

  • Your name
  • Email address
  • Phone number or contact details
  • Responses to application questions or coaching intake forms
  • Donation or service request information

This data is only collected when you choose to submit it.

b. Automatically Collected Technical Information

We collect limited technical data automatically when you visit our websites. This includes:

  • IP address
  • Browser type and device information
  • Referring URL (when available)
  • Basic log data used for security and performance monitoring

We do not use this data to personally identify you and do not maintain user profiles. It is used strictly to maintain site functionality, monitor performance, and ensure the integrity of our systems.

3. Use of Cookies and Session Tools

For visitors to https://thehomeworkdad.com, you can manage your cookie preferences at any time by clicking the link at the bottom of the homepage labeled “REMOVE COOKIE CONSENT.” This allows you to revoke your previous consent and update your preferences.

Our website may use cookies in the following ways:

  • A small, local cookie (hw_cookie_consent) is used to remember whether you’ve accepted or declined our cookie consent banner. This cookie stores no personal data and is not used for tracking.
  • Joomla (our content management system) may issue a temporary session cookie to support basic site functionality, such as form validation and page navigation.
  • We use Google Analytics to gain insight into which content is resonating most with our visitors, how users are engaging with our resources, and how we can better serve our mission. This tool helps us understand usage trends and improve site performance. Google Analytics may set its own cookies and collect technical information such as your IP address and browsing behavior. However, we have configured it to respect user privacy and comply with applicable legal requirements. You have the option to consent to or opt out of non-essential cookies via our cookie banner.

We believe in transparency and data stewardship. Google Analytics is only activated after you give consent through our cookie banner, and you can revoke that consent at any time. We have documented this use in our Privacy Policy, Website Use Policy, and Terms of Service to maintain alignment across all public documents. Our intention is to use analytics solely for improving user experience, understanding how our website is used, and advancing our mission.

If a third-party platform (e.g., embedded content from YouTube or a URL shortener) sets a cookie, that activity is governed by their privacy policies. We do not intentionally use or authorize any cross-platform behavioral tracking on our websites. Some third-party services we link to or embed — such as YouTube or affiliate partners — may have their own tracking mechanisms governed by their respective privacy policies.

We also use Google Tag Manager to manage the timing and delivery of our analytics scripts. To the best of our knowledge this tool does not collect personal data directly but helps us monitor how visitors engage with our content, always in accordance with your consent and our non-advertising policy.

4. How We Use Your Information

We may use the information you voluntarily submit to:

  • Respond to your inquiries or service requests
  • Process donations or applications
  • Provide coaching, support, or content you requested
  • Improve or customize your experience on our platforms
  • Send relevant updates or program-related emails

We do not sell, rent, or trade your information with marketers or advertisers.

5. External Services, Domains, and Data Handling

We use external services and self-hosted tools in support of our mission, and we operate multiple domains and platforms under the Alderpen Media, Inc. umbrella. Our current primary domains include:

We also maintain YouTube channels including:

Mailing lists and email communications are managed via Systeme.io, with messages typically sent from the domain alderpenmedia.net.

We use the following tools and services:

  • Systeme.io (for managing mailing lists and email communications)
  • Stripe (for secure payment processing)
  • YOURLS (a self-hosted URL shortening service we operate at getitto.day)
  • FormTools (a self-hosted platform used to process HTML-based applications submitted through our website)

These platforms may collect additional data when you interact with them. For example, our getitto.day URL shortener may log:

  • Your IP address
  • Timestamp of click
  • Referring URL

This information is used solely for functionality and analytics of shortened links. We do not attempt to identify users and retain only the minimal logs necessary for technical performance and system reliability.

We also periodically download and securely store encrypted backups of our mailing list data from Systeme.io. These backups are kept on password-protected storage devices and may be stored offline in secure environments. While we use reasonable efforts to safeguard this data, no storage system can be guaranteed as 100% secure. We do not attempt to identify users and do not retain this information beyond what is necessary for system operation.

We also use YouTube to host and embed video content. As a Google-owned service, YouTube may set its own cookies or track user interactions according to its own privacy policy. We encourage users to consult YouTube’s privacy terms directly.

6. Self-Hosting and Infrastructure Transparency

Most of our core websites (such as thehomeworkdad.com) are self-hosted or managed using secure, commercial web hosting infrastructure. We currently use Hostinger as our primary web hosting provider.

We do not allow third-party advertisements such as Google AdSense or other external ad networks on our websites. However, some of our YouTube videos may be monetized through the YouTube Partner Program (YPP), which is managed by Google. When these videos are embedded or linked on our websites, YouTube may serve ads and collect user data in accordance with its own privacy policies.

Additionally, affiliate links may appear on our websites, in emails, or in other content. These links are always clearly marked or placed in contexts where their promotional nature is evident. Some of these may generate small commissions or non-cash benefits, which help offset costs and support our work with the creator and parenting communities.

We may also feature or promote members of our community, including through community profiles, video shoutouts, or testimonials. These promotions are always done with the individual's consent and in alignment with our mission.

While we do not intentionally share personal data with our hosting provider, certain technical information — such as IP addresses, access logs, or system-level analytics — may be collected automatically by the hosting environment as part of standard web hosting practices. This activity is governed by Hostinger's privacy policy, and we encourage users to review their terms if concerned.

We do not run behavioral ad networks or participate in data monetization platforms. We are committed to maintaining control over our hosting environment and ensuring that data is never sold or used for commercial surveillance.

7. Public Information and Shoutouts

If you voluntarily provide public-facing information (such as your website, social media handle, or business name) in a designated shoutout section or during a recorded call, that content may be used for public recognition or promotional purposes — always within the context of your original intent and the permissions described in our Terms of Service.

You remain in control of what you choose to submit. If you'd like us to revise or remove previously shared public-facing information, you may contact us and we will make reasonable efforts to comply, provided the content hasn’t already been published in a format we cannot edit.

8. Your Rights Under GDPR and CCPA

If you reside in a region covered by the GDPR (EU/UK) or CCPA (California), you may have specific rights, including:

  • The right to access your personal data
  • The right to correct or delete your data
  • The right to opt-out of data sharing or tracking (note: we do not sell or track)
  • The right to withdraw your consent at any time

9. Changes to This Policy

We review this Privacy Policy periodically and may update it to reflect changes in law, services, or infrastructure. When changes are made, we also review our Terms of Service and Website Use Policy to maintain consistency across documents.

We encourage you to check this page for updates. The effective date at the top reflects the most recent revision.
